Jewelry Manufacturer RFQ Checklist: What to Send Before Requesting a Sample

B2B Jewelry Sourcing Guide

A clear request for quotation (RFQ) helps a jewelry manufacturer understand your product, quantity, finish, and approval process before a sample is prepared. This checklist is designed for brand owners, retailers, and sourcing teams requesting custom or private-label jewelry.

1. Start with the product brief

Give the manufacturer one reference point for each item. Include a product name or internal SKU, the jewelry type, intended market, and whether the item is a new design, a modification, or a reference sample.

  • Reference images, sketches, CAD files, or a physical sample
  • Approximate dimensions, weight target, and wearing requirements
  • Preferred material or material options to compare
  • Plating, colour, texture, stone, enamel, clasp, and packaging preferences
  • Any details that must remain unchanged from the reference

If a measurement is not yet final, label it as a target. This helps the factory identify what can be proposed and what needs confirmation.

2. State the quantity at each stage

Separate the sample quantity from the expected first order and future order range. A manufacturer needs these quantities to prepare a useful quotation and to explain which costs may change with volume.

  • Number of samples requested
  • Expected first-order quantity by design or colour
  • Possible repeat-order range, if known
  • Size or colour breakdown

Fine Chic Jewelry’s current minimum order quantity is 30 pieces. Do not assume that a sample quantity is the same as an order quantity.

3. Explain the sample and approval path

Tell the manufacturer how your team will review a sample. Mention who approves the design, whether revisions are expected, and what must be checked before production.

  • Sample quantity and requested sample finish
  • Photo or video review before shipment, if useful
  • Revision points and the person responsible for approval
  • Final sign-off requirements for colour, dimensions, stones, logo, and packaging

Fine Chic Jewelry currently offers 1–5 cost-price samples, and the sample fee is fully refundable.

4. Ask the questions that affect the quotation

Keep commercial questions together so the response can be compared across manufacturers.

  • Unit price for the requested quantity and material
  • Sample price and any tooling, mould, or setup charge
  • Packaging options and related cost
  • Shipping terms and destination assumptions
  • What is included in the quoted finish and inspection process
  • Expected sample and production timing for this specific request

Fine Chic Jewelry’s current standard production lead time is 10–14 days. Ask for the timing that applies to your specific quotation.

5. Include the business context

Briefly explain whether the item is for a collection launch, a replenishment, a private-label line, or a market test. This gives the manufacturer context without requiring a long presentation.

  • Target launch or delivery window
  • Sales channel and intended customer
  • Packaging, labelling, and logo requirements
  • Destination country and any known compliance questions

6. Use this copyable RFQ template

Subject: RFQ – {Product / Collection Name}
